What does the role involve?

Based in Tullamarine working the AM shift as the “Operations Fleet Officer”, you will work as part of our StarTrack team supporting the site management by providing operational and administrative assistance with all clerical tasks in accordance with company policy. In this role, you will be responsible for improving the end-user customer service through expedient processing of returned freight and improving revenue by ensuring no revenue leakage occurs from secondary delivery charges.

Moreover, you will seek to improve operational efficiencies regarding service and safety by facilitating operations team leaders to be on the floor monitoring & planning loads, following OH&S procedures and CoR procedures.

Additionally, you will manage:

  • Office administration and data entry
  • Answer phone and address customer enquiry as required (missing freight, missed book-ins, assist account manager with enquiries.)
  • Support freight processing
  • Book in Freight (i.e. register book-in consignment notes (connotes) for next day deliveries; phone sender and receiver, update spreadsheet; phone sender for missing freight and missed book-ins)
  • Locate missing and unidentifiable freight
  • Pallet item count
  • Process carded and refused, addressed freight, assist with enquiries
  • Process late delivery claims & shortage claims
  • Process SALESFORCE (i.e. action correspondence/enquiries)
  • Report on Driver Times – enter driver return/finish times and count in fleet sheet, pigeonhole timesheets
  • Ordering through the internal and external catalogues
  • Check agents’ manual invoices & maintain all purchase invoices
  • Provide clerical support for Branches & Managers (as required)

Furthermore, to be successful for this role, you will bring:

  • A strong team focused and collaborative mindset
  • Experience in transport & logistics industries
  • Ability to work within a busy, self-direct team and an enjoyment for completing both manual handling requirements and office administration
  • Proven ability to manage fluctuating freight volumes due to seasonal demands
  • Availability to work from 5:30am to 1:30pm, with reasonable overtime required on occasion.
